What is the Lightsource bp Code HelpDesk?

The Lightsource bp Code HelpDesk is a web-based portal supported by an independent, third-party vendor, ComplianceLine (trading as 'Ethico'). It is a secure, confidential reporting tool that enables Lightsource bp employees, business partners, and other stakeholders to report potential misconduct concerns.

Misconduct includes allegations of potential breaches of laws, regulations, our Code of Business Conduct & Ethics and Code of Business Conduct & Ethics for Counterparties, other Lightsource bp policies/requirements, or other behavior that is inconsistent with our Values.

May I report using either the Internet or the telephone?

Yes. The Lightsource bp Code HelpDesk accepts reports via web form or telephone - local toll-free numbers are available in all countries where Lightsource bp operates. You may also use other Lightsource bp Speak Up channels to report your concern, including your line manager, a leadership team member, or a colleague from Legal, Ethics & Compliance, Human Resources, or Health, Safety & Environment.

What types of situations should I report?

The Lightsource bp Code HelpDesk should be used to raise questions or report concerns about potential misconduct. Misconduct includes allegations of potential violations of laws, regulations, our Codes, policies/requirements, or behavior that is inconsistent with our Values.

Examples of misconduct include:

  • Safety-related concerns: An unsafe work environment, failure to follow safety rules, failure to speak up about safety concerns and risks.
  • People-related concerns: Bullying/intimidation, harassment, sexual harassment, discrimination, unfair treatment, failure to maintain a respectful work environment, breaches of personal data privacy, human rights concerns, substance misuse/impairment, and retaliation.
  • Concerns related to business regulations: Bribery & corruption; fraud, sanctions breaches; money laundering; terrorist financing and other financial crimes; anti-competitive practices; conflicts of interest; failure to deal appropriately with governments and government officials; insider dealing; breaches of trade restrictions or export controls; failure to deal appropriately with third parties, communities, and customers; regulatory licensing and permitting compliance concerns.
  • Concerns related to company assets: Failure to maintain accurate reporting & accounting; cybersecurity concerns; damaged or misused assets; intellectual property concerns (patented inventions, designs, copyright materials, trademarks & service marks, trade-secrets and know how), confidentiality breaches.

What information do I need to provide about my concern?

Information needed to complete a thorough review may include:

  • Name of person(s) or organization(s) engaged in alleged misconduct
  • Description of the location and date/time when event occurred
  • Description of the concern(s) being raised
  • Name(s) of witnesses to the event or others who may have knowledge of facts related to the concern(s)
  • How the event was discovered if the reporter was not a participant or directly involved
  • Supporting documentation if available, including emails, text messages, screenshots, etc.

You should provide as many specific details as possible to facilitate a thorough assessment of your concern. We will always attempt to review a concern, but if there is insufficient information it may result in the case being closed.

Why should I report what I know?

Part of building a culture that is based on trust is learning to Speak Up when you have questions about the way we do business or concerns that something's not right. Lightsource bp is committed to providing an ethical, compliant, and positive work environment for its employees, business partners, and other relevant stakeholders. As part of this commitment, we take concerns about potential misconduct seriously and address them as appropriate.

We all have a responsibility to Speak Up, listen, and respond appropriately to Concerns when they are raised and to do our part to make sure no one experiences retaliation for speaking up or cooperating with an investigation.

Where do these reports go? Who can access them?

Concerns raised through the Lightsource bp Code HelpDesk are maintained on the server of an independent, confidential third-party provider, Ethico. Once received by Lightsource bp, concerns are managed by a limited number of employees who are specifically trained to handle complex and sensitive matters in a confidential manner.

Can I remain anonymous if reporting through the Lightsource bp Code HelpDesk?

Yes, where allowed by local law. Anonymous reporters are provided a Report Key that allows for anonymous communication with a Lightsource bp case manager.

What if I'm concerned about being retaliated against?

Lightsource bp does not tolerate retaliation against anyone who speaks up or cooperates in an investigation. Retaliation is itself a form of misconduct and will be addressed appropriately, if substantiated.

If my concern is investigated, how long will it take?

Each allegation reported through the Lightsource bp Code HelpDesk is unique, so the estimated time of completion depends on many factors, such as the complexity of the issue, the number of people involved, the nature and extent of documents or other evidence, and the urgency of the matter.

How do I get updates about my concern?

Reporters are provided a Report Key that allows for communication with a Lightsource bp case manager. The Report Key is an identification number that allows the reporter to check on the status of a case review or communicate with the Lightsource bp case manager. On the Lightsource bp Code HelpDesk homepage, click 'Follow-up' to ask questions, provide updates, or inquire about the status of your concern.

What does "confidentiality" mean? Is it the same as "anonymity?"

Confidentiality means that details about your concern will only be shared with individuals who "need to know" for purposes of making decisions related to the concern. Confidentiality is not the same as anonymity.

Anonymity means concerns may be reported without disclosing your identity using the Lightsource bp Code HelpDesk, where allowed by local law. Anonymous reports will be taken and reviewed without an attempt to identify the reporter.
